HCS Arlington Meeting April 16th, 2025
Optic has shared some important information:
If you're local, you can bring your personal equipment this year.
Optic has set up a storage space for that.
Remember to stay hydrated!
The event will be indoors.
You can take photos outside nearby without any problems.
Photoshoots/Media:
Feel free to chat with the event teams or sponsors to create content with them.
People are eager to collaborate!
This strengthens our connection with Optic.
Thursday is the last day for locals to bring in their equipment.
Media day will also take place on Thursday.
Blaze is the only person authorized for media day with Loose Films.
The venue opens at 9 AM on Friday, but we can enter early.
We just need someone on site to let us in before the doors officially open.
Try to arrive between 7 and 8 AM.
The venue closes at 11 PM, and we can stay a bit later.
Please limit our time to an hour after closing to respect Optic's schedule.
On Sunday, the venue won’t open until 10 AM.
The one-hour early entry rule applies; we can still get in around 9 AM.
If you have trouble getting in, contact information for Optic representatives will be provided.
We can stay after 7 PM on Sunday to clean up and have a wrap-up chat with Optic.
We’re here to support HCS and Halo, not specifically the 405th.
Stickers and trading cards are welcome, but please avoid bringing personal items.
There’s a backdrop and 6-foot shelves by the entrance, and all attendees will pass by our area.
If you’re displaying anything, make sure someone is there to supervise.
It’s an inviting space, so items could easily be taken.
OUR ITEMS ARE OUR RESPONSIBILITY; PLEASE BE CAREFUL.
Crackhead can bring the turtle rack and some display items.
Handlers confirmed:
Giovanni
SatinGecko
Handlers should be available to watch over the area when not with cosplayers.
Expectations:
We are here to represent Optic, Halo, and HCS.
Be on your best behavior.
HAVE FUN!
Take pictures with people!
Line up near the doors to greet attendees as they arrive!
We want everyone to remember how enjoyable this event is!
If you represent a team that’s playing, join in the excitement!
Cameras love that kind of engagement!
You might end up on media and streams!
Feel free to move around the event!
Don’t hesitate to talk to HCS media members during the event!
(RangerCalli)
Participating in free play (if available) is definitely encouraged!
An attendance sheet has been given to Optic.
You can pick up your pass when you drop off your equipment.
We’re here to make this event unforgettable; how many other games let you compete against people dressed as characters?
We highly recommend picking up your badge on Thursday to avoid long lines on Friday.
Keep a helmet or prop with you at the end of the day so security or Optic can easily identify you as a cosplayer, which may help avoid any issues when entering.
Remember 405th etiquette:
No executions, no teabagging, no pointing guns.
This is straight from Halo Studios!!!
Orange tips on props are encouraged.
Make sure security is aware if you’re helping each other get in; we want things to stay relaxed.
Parking is nearby and affordable for the weekend.
It’s recommended NOT to stay in armor the entire time.
Take photos.
Suit down.
Talk to others about Halo and your suits.
Watch the matches.
Enjoy your time!
Get those deployment photos!
Post away!!!
Please remember to thank your photographers and respect their equipment and time!
They do a lot for us!
Be respectful to attendees; don’t get too close to the stage or camera crews for safety.
No backroom or storage photos, please.
WE ARE NOT ALLOWED IN THE PASSION PIT WHERE OPEN PLAY FOR THE STAGE OCCURS.
