C2E2 2025 Info and Roll Call: April 11th, 2025 - April 13th, 2025

Just posted this in the discord thread, but adding it here too!

In addition to the photo schedule spreadsheet made by JTF4 and Frosty, I will also be available as a photographer during the weekend!!
I will not be scheduling specific time slots as I do not set up a dedicated spot for photos, but will instead be taking photos at locations around the convention center. I will happily do both group photos or singular shots.
If you see me wearing my 2HP Media shirt while most likely having my camera in hand, just come grab me! All I ask is that you have a location and some poses in mind so we can keep things rolling :)
 
Notes from the 04/01/2025 Load-In/Load-Out Meeting:

C2E2 Meeting - April 1st

Exhibitor move-in is set for 8 AM to 4:30 PM.
SSG will be hitting the road from Kansas City bright and early on Thursday.
Skid will be picking up the booth assets at 7 AM that day.

Based on our previous setups/mocks, we anticipate it will take about 40 minutes to put the booth together.
The Longsword walls may be the first to arrive.

Here’s what we’ll need for the Longsword wall setup:
- A rolling Craftsman tool crate that includes:
- Drill
- Battery charger
- Hardware
- Extra drill bits
- A crate filled with miscellaneous items.

For the Harvest room, please bring along:
- A Drill/Driver
- A 7/16 socket bit
- A pair of pliers
- An all-in-one bag or ammunition can
- Touch-up paint will be on hand just in case of any damage.

As for the layout:
The room is directly connected to the ends of the walls, and the design is modular in case we need to remove a wall segment.

Regarding arrival:
4204 and Sigma are expected to roll in around 1-2 PM, and Sweed will be convoying with SSG.
Fallen, SSG, Sigma, Skid, Nerdman, Wayward, Benton, Cacti, Parzival, LadyRed, and Antrodite will be on standby for setup.
We’ll discuss the final approval of booth items during the Sunday call.
Please note, there is a limit on the number of confirmed people for load-in, so everyone else will be on standby.

We might use hot glue or contact cement for any potential ghost repairs, and a full repair kit will be available.
Skid will bring crates instead of tables for the booth, and we’ll cover them with canvas or duck cloth.
 
A few items. First thanks to those who made the load in/load out call last night. Hopefully that answered some questions for those who are helping w/ transportation and setup and teardown.

Second if you have a prop you want to have on display at the booth be sure to add it to the Proposed Props sheet in the booth spreadsheet by end of day today. All links are pinned in this thread. Jamin, Frosty, and I will make a final confirmed list based on what's on there, so if you're prop isn't on that list we're assuming you don't want it on display. Finished items only please.

Lastly, we'll have one final call for everyone attending C2E2 this year on Sunday, Apr 6 at 7:30PM CDT. Hopefully you can make it, but we will make notes available both here on the forums and in Discord within 24hrs of the meeting.
 
Updated all of the info on the first post including attendees, removing tentative responses w/ how close we are, photography information, and pass information for those receiving passes. Please read through this all before Sunday's call and reach out if you have any questions or concerns.

Friday C2E2 After dark group (Rave) theme this year will be flannels and helmets. C2’s theme is western this year, so add a little flair to your get up.

I know ill be wearing a leather cowboy vest, a bolo tie and a cowboy hat on top of my helmet in addition to my flannel

I have a solid color flannel that goes with my helmet, would that count or is the the checkered pattern part of it?

Folks asked for my "elevator pitch" for chatting to folks about our community. This isn't a script per se, this isn't for you to memorize and regurgitate, it's a guide so you can tell people all the key points about our community in a concise and friendly way. Lots of you know I tell members this all the time: Our ultimate goal with convention booths is to show the public the awesome things they are able to achieve with the help of the 405th. Initially they are drawn to our booth because of the super awesome props and costumes you have created, and from there we can encourage them to check out the forums, get a-craftin', and build their own character. With all that said, here's the pitch:

*a con attendee seems to be looking at out props, helmets, costumes etc.*

"All the helmets, props, and costumes you see here are home made! Some of them are made from foam, some of them are 3D printed, and they were all made by a member of our community! See, we're all part of an online community called the 405th; we teach people how to build their own props and costumes from Halo. We have all sorts of resources, templates, and tutorials for you to use to make your own props Halo props and costumes. Joining the community and accessing the resources is completely free, just sign in at 405th.com. That's four-zero-five-T-H-dot-com."

From here you may ask if they would like a card to remember the website. If they seem interested in the community, the conversation will hopefully continually naturally from here. If they're not entirely familiar with Halo or cosplay they may not be eager to ask questions or engage with the community. If that's the case, we want to make sure they feel comfortable hanging around the booth as long as they want. Try:

"Feel free to stay and look at all of the props helmets here, and take a picture with any of the folks you see in suit. Just ask them for a photo and they'll be happy to take one with you. If you have any questions about any of the props you see here, or the community, don't be afraid to ask! I'll do my best to answer anything as best I can"

Your version will be slightly different of course, but in order for people to get the best idea of what our community is all about make sure to mention the following:
-We make our own props and costumes from Halo
-We focus on helping each other learn
-We have resources, templates, tutorials, etc.
-Joining/Accessing tutorials is free
-Join at 405th.com

C2E2 Final Meeting Notes, April 6th, 2025

C2 Week has arrived!

Set up runs Thu from 8:00AM to 4:30PM
Individuals on the Thursday setup on the Sheet are setting up. Others are on standby and should be monitoring Discord

BNKR BBQ after setup
If you're in town you're welcome to join
There will be burgers, hot dogs, and corn
Volunteers needed for getting buns and/or sides
Travel in groups to limit cars at the BNKR. Especially those who are going back to hotels

BNKR
MNKR calling village about parking and alternatives for overnight guests
Do not feel pressured to drink, there will be alternatives
PLEASE DO NOT PRESSURE EACH OTHER TO DRINK
Fill out the spreadsheets please

BOOTH
Interact with people! Be professional
If it gets crowded, we will send people out on the floor
Shift schedule will be posted in the booth room built by Harvest
We have 2 8ft tables provided by C2 as well as possibly a container from Skidmorpheus
We have 4 chairs provided; if we could have a volunteer to provide up to 4 more for the room that would be appreciated
Putting out stickers and cards is welcome; deployment trading cards are preferred
Please stickerbomb the inside of the room or sign it! However, keep it clean; the room can be folded out and inside becomes the back
We will have water and snacks inside the room.

ROOM
We will have a full repair kit, power, and first aid available inside the room
Extension cords - have a 50 ft
Room can be used for changing and breaks if needed
PLEASE NO CRATE STORAGE IN BOOTH ROOM

We are supposed to be close to the C2 cosplay changing area. You may want to bring a lock as the C2 floor rooms are not locked

PHOTOSHOOT
ON FRIDAY NIGHT GRAB YOUR STUFF; NO FLOOR ACCESS BEFORE PHOTOSHOOT
Photoshoot starts at 8 AM. Be in your costume and ready to go
DO NOT BE LATE, WE WILL START WITHOUT YOU
JT and Frosty are our photographers
Location is the same as last year We have no problem showing you or a group where to go Friday!
Location is to the right of the start of Great Hall, opposite the Hyatt hallway, past Will Call
If you can get to the Main Lobby fountains, people will be there to direct you to the shoot!. Cacti has volunteered to help direct people from fountains
If you are gonna be there Friday, please ask staff or experienced member where it is
We WANT you there!
Our timeslot is 8 AM to 10 AM for the shoot
Please no crates (exception requests reach out to Fallen)
We are moving straight to the Show of Force after the shoot
We do have a helmets off photo, but if you do not want to take your helmet off, you don’t have to
We do have members who do not take their helmets off, please be mindful of photos with these individuals both at photoshoot and otherwise

SHOW OF FORCE
Goal for march is 10:30 following the photoshoot. We will have to wait in line for security
We will pause at the letters before going onto the show floor. Expect to be here for awhile
We will be aiming to do as much of this as a group as possible
A water handler would be appreciated as we expect to be armored for 2-3 hours min between photos and walk
Please be mindful of your carrying prop's weight, you will be holding onto it for a long time
TALL PEOPLE especially walking out front, be mindful of your shorter friends when walking. They take shorter steps and what feels comfortable to you can be speed walking for them
Mobile suits/handlers are always welcome and encouraged
Saturday is always packed, this year is sold out in fact; be mindful of the other people around you
If you have your regiments flag, please reach out to Fallen, we want everyone to feel represented and welcome
No one is required to participate in the march if they feel uncomfortable or need to take a break; take care of yourself

OFFICIAL MEETUP
This is the official C2 meeting
1:00 PM to 1:45 PM in the Grand Concourse
It is to the left and behind of the Letters
We can move after starting there

DINNER
2-3 volunteers to pick up the pizza
Noble has volunteered to lead that initiative
Fill out the sheet separately for your handlers and/or +1’s as well
You will be asked for your Forum Name
Price listed in form is per person; it has been updated to allow you to define number of people
Cash will NOT BE ACCEPTED
We will be checking people paid before dinner arrives
Order will be made using the responses! Fill out the form!
Form will be closed 7PM Friday and order placed
Let us know of any dietary restrictions!

DINNER LOCATION
Friday night, we can make our way to the dinner location to show people where to go
The location is the old photoshoot spot near the skybridge to the Marriott
Walk with those who know! Ask for help if you get confused
Possible projector with Jackbox for dinner shenanigans (JTF)

Fallen has a cargo van reservation
Two people required to pick it up and drive to ASUV
NO TRAILERS WITH ASUV
BNKR residents for Sunday night are required to help

PHOTO SESSIONS
If you haven’t signed up yet, JT and Frosty have a spreadsheet for photos
Please only sign up for 2 spots to start, for everyone to have a chance, then fill in the rest
If you have goofy photo ideas, put them in the thread or Nate’s content thread!

DISPLAY PROPS
If you do not have your prop on the list by Wed, it will not be put on display
This is different from personal props that are set aside when you’re not using them
Spreadsheet Colors - green: staff confirmed, yellow: space permitting, red: declined
Please do not dump all your stuff near the prop racks!
We will use the 2D props for the public

I'm planning on bringing my flashpoint set for people to paint up and play for mnkr and maybe saturday night.

I'd love to have people sign the bottom of the bases that they painted. I'll bring what paint and brushes I have.

Let me know if anyone is actually interested in painting so I know if I need to bring the paint bin or not.
